Event Management

We're here to manage the event, so you don't have to...

Planning & Communication

We start by discussing the overall aims and objectives for the event to build a project plan. We communicate with you throughout the entire timeline of the event, from conception to delivery. This includes liaison over the construction of the programme, preparation of organisational timetables and discussions of workshop requirements and format.

​

Budget Management 

We will look after your budget for the event and be 100% transparent with all financial details. This includes taking payment through our registration system and PayPal portal, credit control, and negotiating all charges to source the best rates available. You will have access to the budget during the whole process. 

​

Trade Management

We have found the tried and tested method of a clinician approaching an exhibitor first seems to be the most successful. You then introduce us and we make all arrangements for attendance. We ensure the sponsors expectations are met, we prepare exhibition floor plans and brochures, liase with exhibitors on-site, and manage their invoices and feedback. 

​

Event Completion and Debrief

Once the event has finished we collect feedback from delegates through our registration system. This feedback will then be collated into a feedback report for organisers, and individual feedback reports will be sent to all participating faculty. The system also sends out automated CPD or attendance certificates to delegates post-event. These can be set to be issued on the completion of feedback to ensure a better response.

Event Logistics

We make sure that your event goes smoothly from start to finish.

Venue Sourcing and Management

We conduct extensive venue searches that ensure we source the right location for you based on your criteria and budget. We will arrange site visits, liaise with the venue throughout the process, arrange catering, and book a professional audio-visual team to guarantee the technical aspect of your event goes smoothly.

Accommodation Management

We source local hotels and provide preferential rates for the delegates and faculty and arrange payment schedules.

​

Speaker Management

Once speakers and workshop tutors have been identified and contacted, EMD will make all arrangements for attendance and be the first point of contact.  Our management of speakers includes arranging any special requirements, organising travel, booking accommodation, and communicating with them throughout. We also offer speaker feedback post event.

Delegate Management

Delegates book through our bespoke registration system which includes varying levels of ticketing as well as options to book on to workshops, dinners or excursions. Ongoing delegate organisation occurs from their point of booking, including answering questions, handling payments, electronic check-in, preparing name badges and delegate packs etc

​

Social Event Organisation

We're experts at organising welcome drinks receptions, conference dinners and other social occasions. We liaise with the dinner venue; confirming numbers, dietary requirements, seating arrangements, and timings, whilst also managing all coach transfers if required. To ensure standards are high and expectations are met, a member of the EMD team will attend all dinners to welcome guests and oversee the event.

With your list of contacts, we orchestrate targetted email campaigns using proven techniques to drive traffic to your meeting's website and generate bookings for the event.

Print Marketing and Design

Designing flyers, programmes, letterheads, logos, adverts for journals or anything else you can imagine is all part of the service. Quality design at no extra cost.​

Association Management

We appreciate the work that goes into managing a society, and as a society grows, so does the workload. With busy schedules, Board members often can’t commit the time to the administrative burden of running a society and that’s where we step in!

 

We can be your head office, providing all the support you and your members need in order to keep your society running smoothly and efficiently.

Editorial Journal Administartion

EMD do much more than just event management, we also hold expertise in all aspects of editorial journal administration.

We can manage your journal by supporting your submission process including liaising with your chosen publishing company and communicating effectively with all contributors and editorial teams.
